A contact form is a way to give potential customers the opportunity to contact the company. They have a question or are looking for additional information they cannot find on the website and find it easier to fill out a form than to send an email.

The contact form is the first step in building a customer relationship. It is important that the customer experiences filling out the form as positive!

Ensure the web form looks good

It seems simple, but I still often encounter forms with input fields that are not properly aligned. Forms that look "technical" and have a different font and colors than the rest of the website. This does not invite filling it out. Remember that the person filling it out is a potential customer!

Even if your website is beautiful, if the form doesn't look good or doesn't work, you will make a poor first impression. Of course, the mobile display must also be in order.
 

Help with filling it out

When something is not filled out correctly, indicate exactly which field is wrong and why. 

Also check if all fields are filled out correctly. For example, if no @ is entered in the email address, or if digits are typed in the phone number, you can point this out to the visitor and ask them to double-check the entered data (validation).
 

Confirm by email that the form has been received + copy of fields

Ensure that a confirmation email is sent after the form is filled out. In this email, you indicate when a response can be expected. The potential customer knows where they stand and that the form has arrived safely. Ensure all fields filled out by them are included, so the potential customer knows why they contacted you.

Thank you!

Ensure that after sending the form, the potential customer ends up on a thank you page with a nice thank you message. Otherwise, doubt may arise whether the form was properly filled out or sent. This way, they know the form was sent correctly. 
 

Only ask for necessary data

Make the form as easy as possible for the potential customer and ask for as little as possible. Long forms with many mandatory fields cause frustration and take a lot of time to fill out. Moreover, not everyone wants to enter all data; address details are not always necessary and sometimes private. This scares away the potential customer. A website visitor has no time.
Use only the fields [Name] [email address] [phone number] and [message] and give no more than 3 checkboxes.
 

Let them schedule an appointment already

Ask in the form when the potential customer would like to be contacted and in what way. With this, they have (un)consciously already made a first appointment with you.

Newsletter signup

Do you also have a newsletter? Then the contact form is a way to get extra readers. After all, someone is already interested, otherwise they wouldn't fill out the form. It is a small effort for them to check the box. Nothing ventured, nothing gained!|
 

Finally

What do you as a company do with the entered data? What will you do with it? How long is data stored? Provide a link to the page with the privacy policy or GDPR.
