A package selection process is a process that consists of several steps, each with specific goals to ensure that the final choice meets the needs of the organization. A package is not chosen for a short time, the package choice itself, the implementation, learning to work with it and support by employees ensures that an organization often chooses a package for a longer period. So make sure the choice is well considered!
 

Preliminary research: what do you want to achieve?

The preliminary research is an important step in which you look at what you want to achieve with your company and how you can do that with a (new) software package. You determine what the goals and needs are. You look at the current situation, the current processes. Which different users are there? What do they specifically need to be able to work well? In this blog you will get inspiration about the first 2 steps of the package selection.

 

1. Definition of objectives

Determine the goals you want to achieve with the new platform. A number of examples of goals you may have as an organization when choosing a package.

  • Improving internal communication by ensuring that employees can communicate more effectively and efficiently.
  • Increasing employee engagement and satisfaction through better communication tools.
  • Improving customer service by providing faster and more accessible communication channels for customers.
  • Increasing productivity by optimizing work processes and reducing time loss through better collaboration tools.
  • Strengthening security by protecting sensitive information with secure communication channels.
  • Optimizing customer relationships by improving interaction with customers, thereby building stronger customer relationships.
  • Better insight into the health of your organization through detailed and accurate financial reports.
  • Automating by having to perform fewer manual tasks, saving time and costs.
  • Increasing the accuracy and reliability of data by minimizing errors by streamlining and checking data entry.
  • Improving compliance because by working with a package you comply with relevant laws and regulations.

2. Identify the user groups

If you know what the objectives are that you want to achieve with a new package, it is important to investigate who will all be working with the package, because their needs and requirements must be taken into account in the selection process.

  • Employees: they are often the primary users of the package and their needs and requirements must be taken into account in the selection process.
  • Customers: if the package is customer-oriented, such as a CRM system, customers are important stakeholders because their interaction with the company is affected.
  • Suppliers: in some cases, suppliers can also be stakeholders, especially if the package requires integrations with supplier systems.
  • Management: the management team is often involved in decision-making and must ensure that the package meets the strategic goals of the organization.
  • IT department: the IT department is responsible for the implementation and maintenance of the package and must ensure that it is technically feasible and secure.
  • Finance department: this department must ensure that the package is cost-effective and fits within the budget.

  • Sales department: the sales department can benefit from a package that helps manage customer relationships and streamline the sales process.
  • Compliance and legal teams: these teams must ensure that the package complies with all relevant laws and regulations and that the data is managed securely.
  • External consultants: sometimes external consultants are hired to help with the implementation and optimization of the package.
